Subject 7.04 Request Board Approval of the Deletion of Inventory (Tangible personal property and vehicles) Meeting Dec 10, 2024 - 3:00 p.m. School Board Workshop (Agenda) Category 7. Finance- Consent Type Action (Consent) Goals Goal 5: Ensure operational efficiency and align resources with strategic priorities. BACKGROUND: Property is capitalized and recorded as inventory if the original cost is $1,000 or more. Over time these items become obsolete, broken (to the extent that repair is not cost effective), traded in on a new item, stolen, or missing. If an item is obsolete or broken, but with some possible value, we will store these items until they can be sold either at a countywide sale or by sealed bid. All stolen items are promptly reported to the Flagler County Sheriff. Missing items are not requested for deletion until they have not been found for two consecutive inventories. The deletion of items is required to be approved by the Board, as per Board Policy and Chapter 10.400, Rules of the Auditor General. When computers are deleted because they are irreparable or obsolete, they are typically a few generations behind. The parts for repair are not available and the machines are incapable of running current market software. Therefore, they become items that are not usable for any of today’s applications. For example, use with the Internet and running of Windows. We cannot dispose of these items at the landfill without a cost because of their hazardous components. A recycle dealer helps us to dispose of these antiquated pieces of equipment. He buys them from us and then disposes of them properly. The items that he does not buy are then held and taken to auction, where we get very little, but do not have to pay to dispose of. Before any computer and computer ancillary items are disposed of, the Technology Department first will inspect them and all reusable parts will be held for rebuilding of future items. All vehicles are capitalized and recorded as inventory. After years of use, they are not cost effective to repair or they become hazardous to operate. Those that are sold; are sold in their present condition and the funds are used to replace needed vehicles. The District utilizes George Gideon Auctioneers, Inc. (ggauctionsonline.net) for inventory items to be auctioned. DESCRIPTION: See attached document. FISCAL IMPACT STATEMENT: The above noted items will be deleted from the active inventory records. Original cost:$16,709.00 Current net book value:$170.53 RECOMMENDED RESOLUTION: Recommend approval of the deletion of inventory (tangible personal property and vehicles).
