AGENDA ITEM NO. 6.C Action Item Submitted By: Alicia Cordova, Administrative Services Action Date: December 20, 2023 SUBJECT: Utility Accounts Receivable Write-Offs PRESENTED BY: Chandra Jabbs, Finance Manager SUMMARY: The Administrative Service Department is responsible for the collection of the revenues that are owed to the City. When accounts become past due, the City follows certain procedures for the collection of these accounts such as sending delinquent letters, searching for new accounts in the utility billing system or performing a search using our current credit reposting agency resources and calling phone numbers from closed accounts. After all attempts have failed, staff brings report to City Council requesting approval to remove the uncollectible balance from our books and send them on to a collection agency. Our collection agency has access to additional records and has been successful in recovering additional funds. They have also informed us that accounts received in the first 6-12 months have the highest potential for recovery. As delinquent accounts age, there are limitations placed on collection options. The City receives 60% of delinquencies collected and there is no additional fee charged for this service. At this time we are requesting that the Council approves writing $1,179.68 in uncollected utility revenues from March 23, 2023 thru December 8, 2023. Staff will then send the delinquent account balance to a collection agency for cost recovery. FISCAL IMPACT: Write off $1,179.68 in potential revenue with a portion to be later recovered through collections. ACTION REQUESTED: Motion to approve to write-off accounts receivable and send $1,179.68 to collections. SUSANVILLE CITY COUNCIL AGENDA ITEM ATTACHMENTS: 3811_001.pdf 38
